Account Settings

Your Accounts Settings page allows Account Owners to determine or set how they would like to calculate and manage timekeeping, leave,  financial rounding and default payment terms and conditions.

Account settings should be set upon account creation. Any changes made later can lead to inconsitant data and is not recommended.

Click on   Business  and then select  Settings.  From the Account Setting menu click on Account Settings.


Timekeeping & Payroll


A   Pay Run Frequency: Click to choose from Weekly, Fortnightly or 4 weekly
  Pay Period Start Date: Click to choose the start date of your pay period (ie timesheet and roster start date is a Monday)
C   Pay Run Date: The date you will calculate your pay run. (ie Payrole is calculated the following Wednesday)
D  Current Pay Period: This period is auto calculated based on the selected Pay Run Frequency and Pay Period Start Date
   Time Roundin g:  Select a rounding amount which is applied to timesheets ie Rounding up/down to nearest 5, 10, 15, 20 or 30 minutes Example: 07:57 will round to 08:00 with a 5 minute rounding
   Time Capture Type: Click to select how you wish to capture your times ie by Duration (8 hours) or Start/End Time (09:00- 17:00)
  Allow for Time Entries in Future: Click to disable or enable time to be captured for future dates ie create a time sheet for tomorrow
   Set the Maximum Shift Duration: Enter maximum hours staff can work for. This is for d uty of care - Managing hours worked do not exceed the allowable limit by your organisation .
I    Set the Minimum Rest Duration: Enter minimum hours for rest between shifts. This is for d uty of care - Managing hours of rest between work shifts set by your organisation

Leave Management & Time Reporting

J   Calculate Leave Values: Click to disable or enable.  This feature will pull staff leave balances from the accounting software directly after each pay run. The value pulled will be drawn down on until the next pay run. The value will used to populate timesheets and approval screens to assist with leave management. Note, this value is only correct at the time of pulling from the accounting software.
  Allow Classification Change:  Allow manager to change classification of Resource during time review. Note: This change will only effect that specific time entry. Classifications need to be changed at Resource level or Task Level

L   Edit Billable Rates:  Managers can override the billing rate rules during time entry review..

M  Edit Billable Hours:  Manager can edit billable hour value. If disabled, the actual hours value will be used.

   Edit Task Notes:  Managers can alter task note during time entry review. If disabled, the task note is display only.

   Hide Zero Values Show/Hide all entries that have a zero values in shift reports, timesheets and the financial area.

Hide Zero Values - Display mode of Locked Shift Report:

  Allow Time Entry Editing: Click to disable or enable.  This will allow editing of time entries outside the current pay period.

Financial Settings


Q   Quantity Rounding: Set the number of decimal points for your Quantity fields throughout the application ie 2, 3 or 4 decimal points
  Financial Rounding:  Set the number of decimal points for your Unit Cost, sub totals and total fields throughout the application ie 2, 3 or 4 decimal points
S   Default Currency: The currency selection to prepopulate the tax settings below.
T   Tax Settings: Set Tax name and rate applicable.
  Default Invoice Payment Terms: Set payment term ie within days or month and date applicable.
    Default Purchase Payment Terms: Set payment term ie within days or month and date applicable.
 Invoice Terms & Conditions: Free text field to enter terms & conditions. These text is then preloaded on all invoices created.
   Purchasing Terms & Conditions: Free text field to enter terms & conditions. These text is then preloaded on all purchase orders.
    Purchase Order Delivery Address: Free text field to your default delivery address. These text is then preloaded on all purchase orders.

Don't forget to click Save to save your changes.
