Action: Create a Task

Tasks are a great way to break down costs within a job, and can be created based on a task or job step, the shift that will preform that task, or trade.


A Task can not be created on it's own.   (Task templates however can - see Task Templates for full details.)

As soon as a job is created, Users can then add their tasks either
  1. Assigining an existing Task Templates
  2. Creating a new task, or
  3. QicWorks will use the Job Name to create the first Task. This name can be edited prior to saving. On save the User is then promoted to continue to enter specifics for that Task. 

Additional new tasks can be added to the Job by undertaking the following:
From Job Overview

Click on   Job   from the main menu, then click on   Job Management  . To view a particuar task you need to open the Job first. Simply click on the  Job's Number  from within the Job Management Table. From the Actions menu click on Edit Job . Then click on Load Task or New Task button.


From Task View
Click on   Job   from the main menu, then click on   Job Management   . To view a particuar task you need to open the Job first. Simply click on the  Job's Number  from within the Job Management Table. From the Navigation menu click on View Tasks . Scroll to bottom of screen then click on Load Task or Add Task button.

 Create Task: Enter general details about this task. See Create Task table below for full details
B    Help & Cancel buttons
C   Financial Information: Enter financial details pertaining to this task. See Financial Information table below for full details
D   Planning Information: Enter planning details pertaining to this task. See Planning Information table below for full details
E    Task Milestones: Click Add Task Milestones to create.Task Milestones are visible for marking off within Shift Reports
F    Checklist Item: Click Add Task Checklist Item to create. Checklist items are visible for marking off within Shift Reports and are reset daily 
G    Assign: Allocate your Task Supervisor and resources. For more information see Assign Task Resources
H    Materials: Click Add Materials to assign or book materials to this task. See Action: Add Material to Task for more information

General Information 

     Field Name 
   Function 
   Select Task Template 
      Use the dropdown to select from your existing Task templates. For more information see:  Task Templates 
   Task ID 
   Mandatory *     Unique reference ID for this Task. Click Override System # if you wish to enter your own unique number. For        more information about Task Prefixes see:  Prefix Codes 
   Task Name  
    Mandatory *   Free text field for Task Name 
   Task Description 
    Free text field to enter a description about this Task
   Task Tags
  Free text field to create your own tags for use in QicWorks reports 
    Order Number 
 Enter the Customers order number for this specific task 
    Department 
Select the Department for this Task from the dropdown. For more information about Departments see:  Departments. 

    Note : Department is required for Payroll syncronisation with Xero. 
    Status
Mandatory *   The current status of this Task. Default is set as Planning

   Billing Type
   Mandatory *   Select from dropdown how this task is being charged ie Quoted or Rates
   Pricing Table
   Mandatory *   Select from dropdown to applicable Pricing Table. For more information about Pricing Tables see Pricing Tables
   Payroll Rule
   Mandatory *   Select from dropdown the applicable Payroll Rule. For more information about Payroll Rules see Pay Rules
   WBS Code
   Mandatory *   Select from dropdown the applicable WBS Code. For more information about WBS see WBS Setup
   WBS Package
   Select applicable from dropdown. Multiple WBS Packages can be selected. For more information about WBS Packages see: WBS Setup
   Task Category
    Select the Task Category you wish to use to help filter your cost tables. Deafult is preset to "Task". For more information about  Task Categories see: Task Categories

Financial Information 

     Field Name 
   Function 
     Start Date
   Mandatory *     Select from calendar the anticipated start date for this task. This date is then used within the Task Planner and Job Schedule
     End Date
    Select from calendar the anticipated end date for this task. This date is then used within the Task Planner and Job Schedule
     Progress
    This is the Task's percentage complete and is populated by Shift Report data.
     Priority
    Setting a priority will Priority is used to sort the Task within the mobile app, with high priority at the top of the Task list
     Hide in Planning
   Tick to hide this Task from within the Task Planner and Job Schedule
     Work Pattern
   Select applicable from dropdown. For more information on Work Patterns see Work Patterns

Assign 

     Field Name 
   Function 
      Job Supervisor
    Start typing the name of this Task's Supervisor to populate. Multiple Supervisors can be selected

   Supervisors set here will have access to this Task to enter Group Timesheets or create Shift Reports
     Task Planner Identifier
    Colour code this Task to help identify it within the Task Planner and Job Schedule. This is a handy tool to help identify the Supervisor selected.
     Category
    Filter the Assign Resource tables based on Resource employment category
      Assign Resources
    Start typing Resouce name in search field to filter Table. Click Resource name to assign them to or from the Task

   Names that appear in Job & Resource Planning (left) table are able to have time collected for working on this Task.


Make sure to click the S ave button to apply all changes
