FAQ's - Xero

What benefits are there to connecting my QicWorks account with Xero?


Integrating your QicWorks account with Xero just makes sense! Not only do you avoid data duplication and errors, but your financial advisers can gain deeper insights into your business operations.
Save time not only on account setup (by pulling existing data from Xero such as Staff, Contacts and Accounts) but also by pushing your business documents and payroll to Xero for reconciliation.

How do I Connect with Xero?

Connecting your QicWorks account with your Xero account is as easy as 1, 2, 3.   
Simply navigate to your Xero connection within QicWorks - Business>Settings>Connections - Xero, then  

1. Click on Connect to Xero button and authentic the connection.
2. Match your Xero account(s) with your QicWorks account (Great features if you have multiple Xero accounts that you wish to connect to your single QicWorks account.)
3. Pull your account setup data from Xero. (Contacts, Staff, Chart of Accounts, Tax Rates, Pay Codes, Tracking Categories.)

How do I disconnect from Xero?

Disconnecting from Xero can be undertaken two (2) ways.   Navigate to your Xero connection - Business>Settings>Connections - Xero, then either 

1.  Toggle your connection to Off status, or 
2.  Click the Delete bin to permanently delete the connection

What doesn't the QicWorks - Xero integration do?

Your QicWorks - Xero integration has been designed to save you administrative time by removing duplication and the chance of errors. Our secure API allows for data to be pulled and pushed between your accounts.  We are even able to link up multiple Xero accounts to your single QicWorks account.

Unfortunately at the moment QicWorks does not have capabilities to pull your inventory, banking or brand templates from Xero.

What data is sent to Xero when I push my QicWorks Invoice?

QicWorks will send the invoice number, date, supplier plus all line items contained within the invoice. It will also push the Chart of Account and Tax rates applicable for this costs are to settle to.

Users are also able to push across any invoice attachments such as a Invoice breakdown report, Shift Reports, Timesheets, Purchase Orders, Bills and Expense attachements. QicWorks will compile a copy of all these documents which can be removed from the invoice, if not required, prior to pushing.

QicWorks also has functionality to push negative invoice line items to Xero. Handy for offering customer discounts or credits.

Your invoice will appear in Xero in draft format.

What data is sent to Xero when I push my QicWorks Purchase Order?

QicWorks will send the purchase order number, date, supplier plus all line items contained within the order. It will also push the Chart of Account and Tax rates applicable for this costs to settle to.

Unfortunately the Xero API does not allow for purchase order attachments to be sent to Xero.

Your purchase order will appear in Draft status within Xero.

What data is sent when I push my QicWorks Payroll to Xero?

Once you have completed your Payroll Approval QicWorks allows users to push their Payroll data to Xero for final processing.

QicWorks uses the employee name, applicable paycodes selected and time values to update the applicable Xero pay run.  Xero will then complete your Payroll calculations including PAYG witholding, Superannuation and Payroll tax requirements.

When does my data sync with Xero?

The QicWorks - Xero integration is available on demand for the following data transfers:

Pull from Xero
  1. Contacts
  2. Staff
  3. Chart of Accounts
  4. Pay Categories
  5. Tax Codes
  6. Tracking Categories
Push to Xero
  1. Invoices
  2. Purchase Orders
  3. Credit Notes (Purchases)
  4. Bills
  5. Expenses
  6. Payroll
  7. Leave Requests
The following data pulls from Xero are automated at midnight:
  1. Invoice Payments - Pulls any updates that occurred in last 24 hours.
  2. Leave Balance - Pulls any updates on the pay date as set in Account Settings

I pushed my data (invoice, purchase order, expense, bill, payroll) but I can't see it in Xero?


Sometimes your documents may not successfully push to Xero. This may be because of missing data or data that does not match be tween the two accounts. We recommend that you constantly review the QicWorks Connection Events page to keep on top of your data transfers.
