I want to send my invoice attachments to Xero. How do I do this? Also, do I have the option to pick which attachments I send?
As part of our integration with Xero, QicWorks is able to send not only your invoice data, but also your invoice attachments, complete in the one file.
And the best bit is that you are able to choose which files to send!
Xero requires unique names for your attached documents.
1. Create a new invoice or navigate to an existing invoice that you wish to push.
(From within your job - Jobs>Job Management> Click on the required Job number> Financial>Invoices> Click on the required invoice number or
From Invoices - Business>Invoices>Click on the required invoice number)
2. Open the invoice as a Draft, and then click on Edit from the Actions menu.
3. From within the Invoice header, tick to select which type of documents you wish to send.
Details Report is the breakdown report that lists which time entries and costs make up the value of the order.
Shift Reports & Timesheets will attach the time document(s) relevant to the time entries that were selected.
Receipts will attach a pdf copy of the purchase order or expense selected, as well as their attachments.
Be aware! If your timesheet has been created across multiple jobs, QicWorks will attach the timesheet in full, regardless of job number being invoiced.
4. Review your attachments to confirm which documents you wish to send. Click on Attachments from under the Actions menu.
5. Here you can delete the specific documents you do not wish to send. Simply click on that specific documents delete button.
You will be asked to confirm you would like to delete the record.
Note: Clicking delete here will only delete the document as an attachment to the invoice - it does not delete the original document.
6. Once complete click close.
7. When you are ready, click Push to send the invoice to your accounting software.
